How important is it to use a project management app for managing my online business?

There is an increasing number of project management apps for managing your online business on the internet, and it is very important for us to identify which one suits our needs. More and more, we are moving away from the classic annual paper planner that we buy at the end of the year and adopting new technologies that help us optimize our time.

Why should I adopt an app for managing my online business?

In my case, I have always had problems carrying around a planner or searching for a pending task within it. We are in an era where we are exposed to a lot of information, so it is very important to have the ability to focus on what is really important and distribute our time in an effective way.

In addition to this, it is very important to know how much time we are dedicating to each project in order to know the amount of work capacity we are dedicating our efforts to and thus be able to have a plan for our online business.

Available Tools

That being said, I will now give you a list of tools that I have tried before. Each one has its own particularity, so at the end of the day, you would have to decide which one is more user-friendly or better helps you meet your objectives.

Microsoft To Do

This tool works for free and is very intuitive due to its simplicity when it comes to managing tasks. Both the desktop and mobile versions are very easy to use for daily tasks. However, for managing more complex and collaborative projects, it is too simple, so I recommend it more for day-to-day use.

Trello

Trello was my favorite project management platform for years. Its kanban board was all you needed to work collaboratively with your team. But since a security flaw was discovered in 2018, it no longer thrilled me. It turns out that you could find project boards and documents of any kind since all this information was being added to Google’s search indices. If you still want to use Trello, keep in mind that you should use your boards as private to avoid putting your information at risk.

Notion

Notion is one of the latest tools I’ve used, and I’m really impressed with its adaptability for managing projects, tasks, and even personal tasks. I discovered it thanks to Sergio Sala, and recently I found out that you can build your website using a Notion template, just like Miriam González did. There’s still so much for me to learn about Notion! It’s definitely a powerful tool.

Click Up

Undoubtedly, the one I recommend the most (because it’s the one I’m using the most haha) is ClickUp. It’s the app that has helped me separate several projects and manage them effectively. My team quickly adapted to the tool, and it’s super easy to see where each person is in the project. The free version is quite comprehensive until the moment you need to pull some reports (the most affordable version costs U$5 per user).

At the end of the day, you will decide on the tool that is easiest for you to manage and that helps you the most in managing your business. That’s why I recommend giving each of these apps a chance until you find the one that you feel most comfortable using.
